Before the group arrives, we map the itinerary day by day: the excursions, the activities, the gala evening, the VIP delegates, and the moments that matter most for recognition and for next year's promotion. Nothing is left to guesswork on the ground.

On the programme

One photographer across every day, working with the run sheet rather than interrupting it. Around 25 edited selects are delivered overnight, every day, so you can post to a private group, brief leadership at home, or run a recognition slideshow at dinner.

Delivery

The full edited set is delivered within two working days of the final programme day, through a private online gallery with high-resolution download access. Coverage can be delivered white-label for a DMC or incentive house, or direct to the end client.

Cape Town is one of the world's leading incentive destinations, and the reasons it is chosen are exactly the moments that need to be photographed well: a Winelands lunch under the oaks, the cable car up Table Mountain, a private dinner at Zeitz MOCAA, a boat on the harbour. These are the images that justify the programme to leadership and recruit the next group of qualifiers.

Incentive photography is different from single-event work because it runs across days and locations. The lighting changes from a bright Franschhoek vineyard to a dim gala room in a matter of hours, the group is on the move, and the run sheet rarely survives contact with the weather. Coverage is unobtrusive, delegate opt-outs are respected, and the run sheet flags anyone who should not be photographed or whose images are for internal use only. Do you carry insurance, and can you meet our procurement requirements?

Every shoot runs with dual camera bodies, backup lighting, and redundant card-based storage, so no single failure costs you a frame. What usage rights do we get, and can a DMC pass images to the end client?

Commercial usage rights are included as standard: marketing, social media, internal communications, and the company website. Where a destination management company or incentive house books the coverage, images can be delivered white-label and passed to the end client as part of the programme deliverables. If a specific licensing arrangement is needed, such as onward use by a hotel, venue, or tourism partner, agree it in the brief and it is written into the quote.

Do you work with destination management companies and incentive houses?

Regularly. Coverage can be delivered white-label for the DMC or incentive house to present under their own brand, or directly to the end client, whichever the engagement requires. A single written quote, one point of contact throughout the programme, and delivery on a schedule that fits the itinerary keep the logistics simple on an already complex programme.

What does incentive travel photography cost in Cape Town?

A single programme day or gala evening starts from R 19,200 for up to eight hours. Multi-day incentive programmes are quoted as a single engagement based on the number of days, the venues, travel between locations, and whether video is included. Travel within the Cape Town metro is included, and Winelands travel is a flat rate. Where a programme extends to a safari lodge, Victoria Falls, or another regional leg, flights, transfers, and accommodation for the photographer are itemised in the quote up front rather than added afterwards. Every programme starts with a written quote you approve before anything is confirmed, and what you approve is what you pay.

What happens if the itinerary changes at short notice?

Incentive itineraries move: weather reshuffles an outdoor day, a flight shifts, a dinner venue changes. Coverage is planned to flex with the run sheet, and reasonable changes during the programme are handled without penalty. The written quote carries through as long as the total number of coverage days holds.
