Sunday evening, while you are at home, the two-hour press-ready preview gallery is already in your inbox. You forward six selects to the comms team and tag the three that need to be in the press release. The PDF goes out for sign-off at 21:00.
Monday morning at 09:00 the press release lands in inboxes across the industry, with the keynote shot embedded. By 10:30 the LinkedIn carousel is up, the company website news page is live with a fresh gallery, and the partnerships team is sending the panel discussion shot to the sponsor with a thank-you note. Backup, contingency, and the shoot will happen
Every conference shoot runs with full redundancy. Dual camera bodies and backup lenses on the day. Backup lighting on every shoot. Redundant card-based storage so no single failure costs you a frame. Public liability and professional indemnity insurance, certificates provided in the booking documentation.
What this means in practice
- For multi-day conferences, an associate photographer is briefed on the programme and on standby. If anything stops the lead photographer, coverage continues uninterrupted.
- If a flagged image is technically unusable (focus, exposure, motion blur on a moment that mattered), it is replaced from the contact sheet within the same private gallery at no charge.
- If the three-working-day final delivery slips for any reason on the photography side, the delivery fee on the invoice is waived. The two-hour preview gallery delivers on Full Day regardless.

For large-scale conferences, multi-day events, or programmes running across several rooms simultaneously, I coordinate a team of photographers and videographers. I manage the brief, the team briefing, and the final delivery, so you have one point of contact throughout. The team approach is quoted based on the programme, the number of concurrent sessions, and any video requirements.
Do you photograph at the CTICC and other major Cape Town venues?
